  怎么才能寫出有腔調(diào)的商務(wù)英語(yǔ)郵件

  如果你接觸過的商務(wù)郵件夠多的話,你會(huì)發(fā)現(xiàn):商務(wù)英語(yǔ)郵件中的語(yǔ)言和大家平時(shí)說的、聽的地道的口語(yǔ)表達(dá)沒有太大差別。商務(wù)英語(yǔ)郵件在“腔調(diào)”上雖然有“正式”和“非正式”的區(qū)別,但是它們都必須是“自然的(natural)” :

  商務(wù)英語(yǔ)郵件中的語(yǔ)言雖然是written English, 但它們?cè)凇扒徽{(diào)”上應(yīng)該和spoken English相似。

  很多學(xué)生在剛剛開始學(xué)習(xí)商務(wù)英語(yǔ)郵件寫作的時(shí)候,經(jīng)常會(huì)因?yàn)檫^度追求“專業(yè)化”和“職業(yè)化”而使寫出來(lái)的句子特別拗口、晦澀。比如下面這個(gè)例子:

  As per your request, please find enclosed herewith acheck in the amount of $ 47.95.

  這個(gè)句子中使用了如“as per”和“herewith”這樣的看起來(lái)很專業(yè)但是卻沒有太多實(shí)際意義的詞。這些詞的使用導(dǎo)致整個(gè)句子理解起來(lái)很費(fèi)勁。其實(shí)這個(gè)學(xué)生犯了我們很多學(xué)生都會(huì)犯的錯(cuò)誤:試圖通過使用一些big words來(lái)提升自己的專業(yè)度。但是這樣的做法往往適得其反。我們來(lái)看下這個(gè)句子可以怎么改使其看起來(lái)更natural 一些:

  As you requested, I’m enclosing a check for $ 47.95.

  怎么樣,修改后的句子是不是看起來(lái)更清爽,更容易理解呢?的確,這句話的“腔調(diào)”要更加natural一些。首先,這個(gè)句子中也因?yàn)橛玫搅恕皔ou”“I”這樣的詞而使它更有親和力,而不是那么冷冰冰。其次,從專業(yè)的角度來(lái)看,修改后的句子簡(jiǎn)明扼要,既節(jié)約了寫信人的寫作時(shí)間,又節(jié)約了收信人的閱讀時(shí)間,這種“減法”恰恰體現(xiàn)了的商務(wù)溝通對(duì)專業(yè)度的要求。

  大家再來(lái)看兩封郵件,這兩封郵件都是在闡述同一個(gè)問題。相信大家讀完這兩封郵件后,會(huì)對(duì)郵件的“腔調(diào)”有一個(gè)更加直觀的認(rèn)識(shí)。

  怎么樣,乍一看,很難看出兩封郵件寫的是一件事情吧?例2的段就把主旨意思點(diǎn)明了:我們已經(jīng)收到了你的訂單,但是很遺憾,我們不得不退還你的支票。而例1繞來(lái)繞去繞到最后才知道原來(lái)是要拒絕訂單。

  綜上所述,商務(wù)英語(yǔ)郵件的“腔調(diào)”其實(shí)沒有那么復(fù)雜,表達(dá)自然、言簡(jiǎn)意賅就可以寫出一個(gè)漂亮的郵件。


  商務(wù)英語(yǔ)郵件格式

  01

  開頭 Greetings

  Dear XXX

  Hello XXX

  Hi XXX

  XXX可以是對(duì)方的名字,也可以是類似 Madam/Sir 這樣的稱謂。

  02

  正文

  步:Introduction

  在正文中,件要做的事就是向?qū)Ψ奖砻髯约旱纳矸?,并?jiǎn)單的向?qū)Ψ絾柡谩?/p>

  比如:My name is XX XX.

  注意,寫英文郵件時(shí),名在前,姓在后的。即:First name Last name.

  如:

  My name is Hong Li. I am the account manager of XXX company.我的名字叫李紅,我是XXX公司的客戶經(jīng)理。

  問好這一步有些朋友往往忽略了,其實(shí)加上這么一小句話可以讓一封商務(wù)郵件多一點(diǎn)“溫度”。符合商務(wù)郵件“友好而專業(yè)”的調(diào)性。

  比如使用常用的問好語(yǔ):

  I hope you have a wonderful day.

  或者:

  I hope you are well.

  第二步:Purpose

  第二步我們需要說明自己發(fā)這份郵件的目的為何。即:

  I am writing to XXXX.

  I would like to XXXX.

  I suggest XXXX.

  并盡量在此處以盡量簡(jiǎn)明的語(yǔ)言將想要表達(dá)的事件闡述完整。

  如果郵件中添加了需要對(duì)方查看的附件,那么就需要加上“請(qǐng)見附件...”,即:

  Please find attached XXX.

  XXX就是添加的附件內(nèi)容,如:

  the evaluation report 評(píng)估報(bào)告

  meeting notes 會(huì)議記錄

  第三步:Call to action

  第三步,我們要明示我們希望或需要對(duì)方做的事情。

  如:

  Please let me know if the time is convenient for you.

  What do you think about XXXX?

  第四步:Ending

  表示感謝,期望收到對(duì)方的回信,有問題可以再聯(lián)系我等等。

  如:

  I look forward to hearing from you.

  If you have any questions please let me know.

  Thank you for your understanding.

  落款 & 簽名

  可以使用較常用的落款,如 :

  Best regards

  或

  Warm wishes

  注意落款要獨(dú)占一行。在落款之后,空一行,然后再寫上自己的名字。
